Mission Group Hospitality Committee, Jan. 12, 2010

Present:   Doug A, Ellen B, Teresa B, Jenny B, Lois D, Rachel & Vince M, Kate & Dick R, Leslee S, Libby S

Opening prayer
Ellen opened our meeting with prayer.

Since last meeting    
The income funds were deleted by giving Pete $250; purchasing the refrigerator and icemaker and paying for part of the freezer.  The Flood Fund generously agreed to “forgive” our loan balance of $930.51 for the freezer.  Bad news is we have no money; good news is we have no debt!

By July 22 we need to submit a grantee report to the GCRCF.  Ellen offered to work on this.

Flood Hospitality notebook is missing.   Lisa was able to print some of the contents off the notebook and Kate will review and revise this material.  If we don’t find it we’ll need to create the “What to do in CR” section.             

Who needs to know we will host volunteer groups?       
Ellen will contact Block by Block which is affiliated with the First United Methodist Church in Marion and let them know we have 20 cots for sleeping (we can accommodate up to 25 if they bring air mattresses) and that we will provide breakfast (either prepared breakfast or Make Your Own Breakfast), Make Your Own Lunch and served dinner.  Ellen will send an invite to the youth leaders list serve that she is on inviting groups to consider volunteering in CR and staying at CEC.   

Kate will contact Rev. Pat G the diocesan disaster relief coordinator and Sue D at United Way who’s affiliated with the Volunteer Reception Center, 319/540-4810.

Lisa has received e-mails from a man wondering if we will host an individual; we will only host groups of volunteers.

What CEC space must we have and what space would we like have?
Kate will talk with Martha and ask if we can reserve to the parish hall kitchen, parish hall (meals, games, TV viewing, etc.), sleeping rooms (choir room, the two youth classrooms), restrooms and shower room (if needed although we will ask that their everyday showers be taken at the YMCA).  We’d like to offer the library for internet access (if they bring a laptop) when the room is not being used for CEC meetings.  We will purchase remnant carpet for the choir room to prevent sliding of the cots which causes them to break.  The rectory may be available this summer too.

DELIVER LEFTOVERS:  Joyce said yes!

Leslee is set to help with meals and take photos.
